POSITION SUMMARY: The Compliance Analyst will be responsible for all company-wide compliance activities including projects and contracts compliance activities. The Compliance Analyst is responsible for developing intra-office communication protocols, streamlining administrative procedures, ensuring corporate compliance, licensing compliance, contract compliance and assist with procurement/solicitation submissions. Ability to assist with supervision and task delegation. Ability to multi-task and understand all aspects of corporate activities. Experienced in handling a wide range of executive support related tasks and able to work independently with little or no supervision. Will be organized, flexible and enjoy the administrative challenges of supporting an office of diverse people. Effectively and efficiently performs administrative and compliance activities for CODICE President/CEO and CFO. Maintains strictest confidentiality of executive and corporate business matters. 

 

Duties and Responsibilities

o    Responsible for maintaining compliance requirements for company-wide IT and Financial policies and procedures.

o    Responsible for maintaining and updating all corporate licenses and certifications.

o    Responsible for researching and identifying new markets for corporate outreach, and obtain any required licenses for work in new markets.

o    Work with the CFO to periodically review and update Finance Policies and Procedures

o    Create and maintain a list of licenses and registrations that the company needs to maintain to operate its business, to include DC, MD, NY, VA, GSA, and Federal licenses.

o    Work in collaboration with the CFO and corporate GSA vendor to update and maintain GSA requirements and price schedules and financial requirements.

o    Create and maintain a list of agreements (contracts, subcontracts, teaming agreements, non-disclosure agreements, etc.) and update CEO and CFO regarding expirations and upcoming renewals.

o    Assist in updating agreements as requested by CEO and CFO (contracts, subcontracts, teaming agreements, non-disclosure agreements, etc.)

o    Create and maintain a list of deadlines that the company is responsible for, and work with relevant senior managers to ensure that deadlines are met

o    Assist in corporate procurement, solicitation, and proposal process including proposal identification, writing and submission.

o    Gather cost and financial information from all departments and develop financial models in support of proposals.

o    Look for solicitation opportunities that the company is interested in bidding and work with relevant managers in the bidding process.

o    Maintain all compliance documents related to contract performance for each of company’s clients.

o    Maintain a database for procurement related documents that is accessible by senior managers.

o    Monthly analyze project and contract performance, including financial performance and profitability, adherence to project and contract compliance items, and inform relevant project manager and senior managers of project-wise trends, profitability, financial analysis, opportunities and vulnerabilities.

o    Keep track of actual vs budgeted spending and financial key performance indicators.

o    Develop financial and project analysis models to track project performance.

o    Actively participate and provide input on corporate project portfolio and future project pipelines.

o    Assist with contract management and maintain all contracts and as needed liaising with legal team. 

  • Assist with and coordinate drafting, researching, editing, and writing responses to solicitations, company re-certifications and certifications, etc. 
  • Responsible for developing financial proposals.
  • Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
  • Monitor project results, project deadlines, project reports and status reports for CEO and CFO.
  • Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends;
  • Support staff in assigned project-based work, as needed. 
  • Present oral and written reports to the CEO, CFO and clients if required; review monthly in-house department financial outcomes.
  • Contributes to team effort by accomplishing related results as needed.
  • Other duties as assigned.

 

 Knowledge, Skills and Abilities

  • Excellent written and oral communication skills.
  • Excellent knowledge of Microsoft Office and telephone protocols.
  • Ability to type 50 wpm.
  • Experience and familiarity using computer systems, mobile devices, office equipment such as scanners, copiers, printers, etc.
  • Ability to work under pressure, manage timelines and ability to prioritize effectively

 


Required Education:

  Possess a Bachelor's degree from an accredited college or university in related field – Business Administration, Economics and Finance.

 

Required Experience:

s experience in clerical and administrative experience especially providing regulatory compliance and analysis/monitoring.
